This Privacy Policy applies to the Stock Manager mobile application, in-app features, ad-supported use, premium features, subscriptions, cloud backup features, AI-powered product reading features, support communications, and data processing activities related to these services.

By downloading, installing, opening, creating an account, signing in to, or using the application, you acknowledge that you have read and understood the data processing practices described in this policy. If you use the application on behalf of a business, you also confirm that you accept this policy on behalf of that business and that you have the necessary authority to do so.

This document has been prepared to cover fundamental privacy expectations in different countries. Your mandatory consumer and data protection rights under the laws of your country are not affected by this policy.

1. Purpose of the Application

Stock Manager is an inventory management application that offers features for products, stock, barcodes, warehouses, batches, stock movements, customers, suppliers, reports, PDFs, documents, images, exports, backups, cloud backups, ad-supported use, premium features, and in-app purchases.

The application is not an accounting, tax, legal, financial, official invoicing, official document verification, product safety inspection, or regulatory advisory service. The user is responsible for the accuracy of the information entered into the application and for their own commercial and legal record-keeping obligations.

2. Categories of Data We Collect or Process

Depending on the features used by the user, the application may process the following categories of data:

2.1 Account and Identity Information

Email address, first name, last name, display name, date of birth, account provider, user ID, email verification status, account status, session security information, password reset records, and email verification records may be processed. Passwords are not viewed or stored in plain text by Devovia.

2.2 Contract and Consent Records

Records such as the acceptance status of the Terms of Use and Privacy Policy, acceptance date, accepted document version, optional marketing communication preference, and application version may be stored. These records are retained to demonstrate that the contract was established and that legal notices were provided.

2.3 Inventory and Business Content

Product name, product description, SKU, barcode, category, stock quantity, minimum stock, purchase price, sales price, cost, profit/loss calculations, warehouse location, supplier information, customer information, stock-in/stock-out movements, reference number, invoice number, delivery note/dispatch slip information, batch/lot number, expiration date, production date, notes, stock count records, PDF templates, report settings, and document metadata entered by the user into the application may be processed.

If the user enters personal data belonging to customers, suppliers, employees, or third parties into the application, the user is responsible for providing the necessary notices to those individuals and ensuring a valid legal basis.

2.4 Images, Documents, and Files

Product photos, invoice or document images, product documents, PDF outputs, CSV/Excel/JSON exports, backup files, application logos, and other files selected by the user may be processed. These files may be stored on the device, exported, shared, or associated with the user’s account if the cloud backup feature is enabled, depending on the user’s preferences.

2.5 Camera, Photo, and File Selection

Camera permission may be used for barcode/QR scanning, taking product photos, or adding document images. Photo and file selection may be used to add an image or document explicitly selected by the user to the application. The application does not use these permissions to scan all personal files on the device independently of the user.

2.6 Artificial Intelligence and OCR Product Reading Data

The user may optionally scan text, barcodes, or product information from product photos. This feature may generate suggestions such as product name, brand, variation, color, size, quantity, weight, volume, price, expiration date, lot number, and description. AI or OCR results are suggestions only; the user must review the information before saving it.

When this feature is used, selected product images and the text extracted from those images may be processed to fulfill the request, prevent abuse, manage quality, security, and usage limits. If the user does not use this feature, product images are not processed for this purpose.

2.7 Purchase, Subscription, and Entitlement Information

For in-app purchases or subscription features such as ad removal, Premium+, and Business, product ID, purchase status, subscription status, transaction ID, store verification information, entitlement status, and refund/cancellation/renewal status may be processed. Full payment card numbers, bank accounts, or payment passwords are not viewed by Devovia; payments are managed by the relevant application store.

2.8 Advertising, Measurement, and Marketing Data

In free or ad-supported use, ad impressions, ad clicks, rewarded ad preferences, ad performance information, device or advertising identifiers, consent status, app interactions, and purchase events may be processed. Ads may be personalized or non-personalized depending on the user’s consent status, device settings, country, and platform policies.

2.9 Technical, Security, and Performance Data

Device model, operating system, application version, language, country/region, IP address, crash logs, performance information, network diagnostic information, and security and abuse prevention signals may be processed. This data is used to keep the application secure, functional, and up to date.

2.10 Support and Communication Data

If the user submits a support request, the email address, message content, attached files, screenshots, and information required to resolve the request may be processed.

3. Where Do We Obtain Data From?

Data may be obtained directly from the user, the user’s device, files selected by the user, account providers, application stores, advertising and measurement providers, cloud services, artificial intelligence/OCR services, support communications, and sharing/export actions explicitly initiated by the user.

4. Local Storage, Cloud Backup, and Synchronization

The application may store core inventory data on the device. Unless the user initiates an export, sharing, printing, or backup process, local content may remain on the user’s device.

If Business or cloud backup features are used, inventory data, product images, document files, report files, PDF outputs, application settings, and backup records may be stored in cloud infrastructure by associating them with the user’s account. This feature is provided so that the user can restore their data on a new device or reduce the risk of data loss in case of device loss.

Use of cloud backup may be subject to limitations, technical interruptions, storage limits, and third-party service provider terms. Users are advised to perform regular exports and independent backups for critical business records.

5. Purposes for Using Data

Data may be processed for the following purposes:

  • to provide the application’s core stock and inventory features;
  • to create accounts, enable sign-in, verify email addresses, and keep accounts secure;
  • to allow users to manage product, warehouse, stock, customer, supplier, report, document, and backup records;
  • to deliver premium, subscription, ad removal, and Business entitlements;
  • to verify and restore purchases and subscriptions and prevent abuse;
  • to display ads, run rewarded ads, measure ad performance, and manage advertising preferences;
  • to provide product information suggestions through artificial intelligence/OCR;
  • to send notifications, low-stock alerts, reminders, or in-app status messages;
  • to provide user support and respond to requests;
  • to detect crashes, performance issues, and security problems;
  • to prevent fraud, unauthorized access, abuse, and policy violations;
  • to comply with legal obligations and protect our rights;
  • to perform export, sharing, printing, or opening-in-another-application actions explicitly initiated by the user.

6. Legal Bases

Depending on applicable law, data may be processed under one or more of the following legal bases:

  • establishment and performance of a contract;
  • the user’s explicit consent;
  • taking action at the user’s request;
  • compliance with legal obligations;
  • legitimate interests of Devovia or the user;
  • security, fraud prevention, and protection of service integrity;
  • establishment, exercise, or defense of legal claims.

For processing based on consent, the user may withdraw consent through the relevant feature or platform settings. Withdrawal of consent does not affect the lawfulness of processing carried out based on consent before its withdrawal.

7. Third-Party Service Providers

The application may work with service providers in the following categories to operate its features:

  • account creation, sign-in, and email verification services;
  • cloud backup, data storage, and server processing services;
  • in-app purchase and subscription management services;
  • advertising network, ad mediation, ad measurement, and consent management services;
  • artificial intelligence, OCR, text recognition, and barcode reading services;
  • crash, performance, security, and abuse prevention services;
  • file sharing, printing, email, messaging, or destination applications selected by the user;
  • authorized authorities and professional advisors where legally required.

These providers are subject to their own privacy policies, terms of service, and country/region-based rules. Devovia does not have full control over third-party providers’ independent account decisions, system outages, data center locations, advertising decisions, or policy changes.

8. Data Sharing

Devovia does not sell users’ local inventory records. Data may only be shared for the purposes described in this policy, upon the user’s instruction, with service providers, application stores, advertising/measurement providers, cloud infrastructure providers, support providers, authorized authorities where legally required, or destination applications explicitly selected by the user.

In some countries, personalized advertising or cross-app/cross-site measurement within advertising technologies may be considered “sale,” “sharing,” or “targeted advertising.” The user may manage their preferences through the relevant platform privacy settings, in-app privacy options, device advertising settings, or, where applicable, mechanisms such as “Do Not Sell or Share / Opt-out.”

9. Ads, Tracking, and Privacy Preferences

The application may display advertisements. Rewarded ads are shown only as a result of an action selected by the user. Advertising providers may process limited data for ad impressions, clicks, measurement, fraud prevention, and advertising preferences.

In the European Economic Area, the United Kingdom, Switzerland, and similar regions, a consent screen may be displayed where required for advertising and personalization. On iOS, the application may display Apple’s permission prompt for advertising or measurement activities that require tracking permission. If the user does not grant permission, some ads may be non-personalized or certain advertising/measurement features may be limited.

10. Notifications

If the user grants permission, the application may send low-stock alerts, reminders, in-app status, backup, subscription, or important service notifications. Marketing notifications may require explicit consent under applicable law. The user can disable notifications from the device settings.

11. In-App Purchases and Subscriptions

Purchase and subscription transactions are handled by Google Play, Apple App Store, or the relevant application store. Devovia does not view full payment card information. Purchase status, subscription status, transaction ID, and entitlement information are processed only to provide access to purchased features, verify purchases, manage refunds/cancellations, and prevent abuse.

Subscription cancellation, renewal, pricing, trial periods, refunds, and billing processes are subject to the rules of the relevant application store. The user can manage their subscription through their application store account.

12. International Data Transfers

Devovia may be based in the Netherlands; however, service providers may process data outside the user’s country. These transfers may be carried out under applicable data protection laws, contractual commitments, standard contractual clauses, adequacy decisions, data processing agreements, or similar protection mechanisms.

13. Retention Periods

Data is retained for as long as necessary for the purposes for which it is processed:

  • local inventory data may remain on the device until the user deletes it, uninstalls the application, or clears device data;
  • cloud backups may be retained for as long as the user account is active, until the user deletes them, or until the backup service is terminated;
  • account and contract acceptance records may be retained for as long as necessary for account management and legal proof purposes;
  • purchase, subscription, billing, and security records may be retained for the duration required by legal obligations and dispute limitation periods;
  • support correspondence may be retained for a reasonable period for request resolution, quality, and legal requirements;
  • advertising and measurement data may be retained according to providers’ policies and the user’s consent/preference status;
  • after deletion, backup copies may remain in system backups for a limited period and are deleted or anonymized within the ordinary backup cycle.

14. Account Deletion and Data Deletion

The user may initiate an account deletion request from the account management section within the application. Under applicable store rules, applications that support account creation must also provide a way to request account deletion outside the application. Therefore, users may also contact info@devoviastudio.com for account and data deletion requests.

When a deletion request is received, personal data and cloud data associated with the account will be deleted or anonymized within a reasonable period. However, certain data may be retained to the extent necessary for legal obligations, payment records, security, fraud prevention, dispute resolution, accounting, or the exercise of legal rights.

Since local device data is stored on the user’s device, the user must use in-app deletion tools, delete exported files, or clear the application data from device settings.

15. User Rights

Depending on your country, you may have the following rights:

  • to access your personal data;
  • to request correction of your data;
  • to request deletion or anonymization of your data;
  • to restrict or object to processing;
  • to withdraw your consent;
  • to request data portability;
  • to manage your advertising, targeted advertising, or data sharing preferences;
  • to object to the sale or sharing of personal data;
  • to limit the use of sensitive personal data;
  • to request information about automated decision-making;
  • to lodge a complaint with the competent data protection authority.

15.1 European Economic Area, United Kingdom, and Switzerland

Users in these regions may have the rights of access, correction, deletion, restriction, objection, data portability, withdrawal of consent, and complaint to a supervisory authority.

15.2 Türkiye

Users in Türkiye may have the right to learn whether their personal data is being processed, request information if it has been processed, learn the purpose of processing, know the third parties to whom data has been transferred, request correction of incomplete or inaccurate data, request deletion or destruction, request notification of correction/deletion operations to third parties to whom the data has been transferred, object to results arising from automated analysis, and claim compensation if they suffer damage.

15.3 California and Other U.S. States

Users in California and other U.S. states with similar privacy laws may have the rights to know the categories of personal data collected, access specific personal data, request deletion, request correction, opt out of sale/sharing or targeted advertising, limit the use of sensitive personal data, and not be discriminated against for exercising these rights.

15.4 Brazil, Canada, Australia, India, Japan, South Korea, and Other Regions

Users in these regions may have rights such as access, correction, deletion, withdrawal of consent, information about processing purposes, information about transfers, complaint rights, and similar rights under applicable local laws. Devovia will evaluate such requests to the extent required by applicable laws.

16. Children’s Privacy

The application is designed for business, stock, and inventory management; it is not directed at children. The application does not knowingly collect personal data from children. If you believe that data belonging to a child has been processed, please contact us at info@devoviastudio.com. Deletion or restriction actions required under applicable law will be taken.

17. Sensitive Data

The application is not designed to collect health, biometric, genetic, religious, political opinion, trade union membership, or similar sensitive data. Users should not enter sensitive personal data into the application unless necessary. If the user processes sensitive data about their own customers, suppliers, or employees, the legal responsibility for doing so belongs to the user.

18. Security

Devovia applies reasonable technical and administrative security measures. These may include account verification, access control, secure communication, platform security mechanisms, limited data access, and abuse prevention practices.

However, no system is completely secure. The user is responsible for keeping their device lock, operating system updates, account password, exported files, backups, and shared documents secure.

19. Automated Decision-Making

The application is not designed to make fully automated decisions that produce legal or similarly significant effects on the user. Artificial intelligence/OCR and ad personalization results may be used for suggestions, measurement, or ad delivery; the user must independently verify stock, price, product, expiration date, and commercial decisions.

20. User’s Data Responsibility

If the user enters personal data belonging to customers, suppliers, employees, or third parties into the application, the user is responsible for their own legal obligations regarding such data. The user is responsible for providing necessary notices, obtaining permissions, keeping data accurate, processing only necessary data, managing retention periods, and responding to third-party rights requests.

Devovia does not verify the accuracy, legality, or retention period of third-party data entered by the user into the application.

21. Changes to This Policy

This policy may be updated from time to time. For significant changes, an in-app notice may be shown, renewed consent may be requested, or information may be provided in store descriptions. Users who do not accept the updated policy should stop using the application and consider account/data deletion options.
